CONDUCT AUDITS EFFICIENTLY
With a single click, users may begin an audit (Begin Audit), follow up on an audit
(Action Plan) or access the Training Manual, customer Support or the administrative Dashboard.
Select Audit Type/Section. This provides the users with a list of all the types of audits or inspections. To begin an audit, simply click on the audit type you request to conduct. Any set of your established standards can be entered into the system to conduct audits and follow up on compliance. Access to each audit is determined by the user rights assigned to each individual.
Conducting an Audit
Each audit contains the standard ID (code) with its text description, status, auto comments, more info (supporting rationale behind the standard) and free form auditor comments.
Create Corrective Action Plans
Exit Conference Efficiency. Once an audit is complete, administrators and those accountable may conduct an exit conference to discuss the results of the audit and assign corrective action. This is done by choosing Action Plan from the main menu and then securely logging in with the correct user name and password. The user will see only standards within their assigned security rights. All the information gathered during the audit is recorded and stored within the system using an automatically assigned unique number.
The column format is similar to a typical spreadsheet. These audit results are sorted by date, auditor, assignee, facility (group), status, severity and the standard ID. Columns may be quickly sorted by simply clicking on the header. Users can also select from the menus on the left side to access contacts and files.
Assigning Corrective Action. By clicking Modify, the auditor, superintendent or administrator can create a corrective action plan with a few clicks.
- Choose the ASSIGNEE responsible.
- Update the SEVERITY and STATUS as needed.
- Click ADD A FILE to attach proof, a policy, manual, procedure (any type of format; pdf, excel, mp3, jpg, etc.) to document and further support corrective action.
- NEW COMMENTS may be entered to explain or document the corrective action.
- Schedule a DUE DATE using the calendar tool.
- Send out an EMAIL to the auditor, assignee or anyone else within the system using the Email Options field.
- TIME SPENT and other fields can also be added to track additional items, such as hours worked per job to justify budget expenditures.
- All of these fields generate reports in .pdf and Excel.
